Privacy notice

1. Who we are

Roguemove is an online letting agent for London. This notice explains what personal data we collect, why we use it, who we share it with, how long we keep it and what your rights are.

It covers everyone whose data we handle: tenants and people applying to rent, sharers and guarantors, landlords and property owners, letting agents, build to rent teams, and anyone who asks about a viewing, with or without an account.

We are the controller for our own platform: your account, viewing enquiries, the emails and texts we send, what we measure, and support.

For letting data (offers, referencing results, Right to Rent checks and the tenancy itself), the landlord and Roguemove are joint controllers. Our terms of use say this, and so does the declaration landlords, letting agents and build to rent teams accept when they sign up. Landlords and agents who see tenant information may use it only to let the property.

2. What we collect

  • Account and contact details. Your name, email address and phone number, and a profile photo if you add one.
  • Your tenant profile. What you are looking for (budget, bedrooms, areas, move date, furnished or not) and about you (pets, whether you smoke, who you would live with, age range, occupation, employer, employment status and start date, income, and a short bio).
  • Viewing enquiries. If you start booking a viewing, with or without an account: your name, email address, phone number, the slot you picked and where you came from (our site, a board QR code, a property portal such as Rightmove, Zoopla or OnTheMarket, or one of our emails).
  • Viewings, offers and messages. The viewings you book, any note you add, whether you attended, any note the landlord or agent makes about the viewing, and any feedback you leave. Your offers: the rent and move date, how many of you will live there, any statement and photo you add, and the addresses you give for the tenancy agreement. The sharers you name (name, email address and phone number) and your guarantor (name, email address, postal address, relationship to you and income). Messages in the offer chat, the tenancy chat and the support chat.
  • Referencing and Rent Passport. Your Passport result: whether the check passed, your verified monthly income, whether it includes benefits, and whether your rent payments were visible. After an offer is accepted, the landlord can order a full reference (credit history, employer and previous landlord references). A referencing partner runs these checks. We have not appointed one yet, so none of them runs today. If you choose not to do the Passport check, we keep the reason you give.
  • Right to Rent. Which applies to you (British or Irish, settled or pre-settled status, a visa, or something else), your share code if you have one, and a copy of the document you upload. Our team checks it for the landlord and records the result. The landlord, any letting agent acting for them and a build to rent leasing team see that result and the status and share code you give, and can open the document you upload.
  • Sanctions and anti-money-laundering checks. Our team checks tenants, guarantors, landlords and property owners against the UK sanctions list and records the result. For landlords and owners this includes full legal name and date of birth, or the company number if a company owns the property. Landlords also tell us whether they let any property above the anti-money-laundering rent threshold.
  • Tenancy documents and signatures. The tenancy agreement, any guarantee, and the inventory report. When you sign, we record the date and time, the email address you signed with and the IP address of your device.
  • Payments. Stripe processes card payments. We keep the amount, its status, who paid, Stripe's reference for the payment, and any refund. We never store card or bank numbers.
  • Landlords, agents and properties. Landlord and agent contact details, a bio and photo if you add them, and agency details such as your redress scheme, client money protection, insurance and company number. Property details, compliance certificates (such as EPC, gas safety and electrical reports), photos, video tours and rent appraisals.
  • Emails, texts and what you view. The emails we send you, whether each one was delivered, and the links you click in our follow-up emails. Your email and text choices. When you are signed in, the listings you view. See section 5.
  • Technical records. If something goes wrong, our error records can include your browser type, the page you were on and details you had just submitted, such as your email address.

Where it comes from. Most of it comes from you. Some comes from other people:

  • a tenant who names you as a sharer or guarantor;
  • a property portal, when you ask about a home there and the portal forwards your enquiry to us;
  • a letting agent who introduces you to a build to rent building (your email address, budget, move date, how many of you there are, and a note about your work);
  • the landlord or agent, for example when they record that you attended a viewing or add a note about it;
  • a landlord or build to rent leasing team who names you as an owner of the property (your name, email address and date of birth, or the company number if a company owns it);
  • Stripe, which tells us whether a payment went through;
  • our referencing partner, once one is appointed.

3. Why we use it, and the lawful basis

The law says we need a lawful basis for each use of your data. Ours are:

  • Running your account, viewings, offers and your tenancy. Contract: we need the data to provide what you asked for, or to take steps you asked for before a tenancy.
  • Right to Rent, sanctions and anti-money-laundering checks. Legal obligation.
  • Referencing and affordability. Contract, and the legitimate interest of the landlord and Roguemove in letting to someone who can pay the rent.
  • Service emails and texts, security, preventing fraud, fixing errors, and measuring our emails and listing pages. Legitimate interests: running a reliable, secure service and learning what helps people find a home.
  • Follow-up emails about a viewing you booked or started booking, and a reminder text if you started booking one. Legitimate interests, under the soft opt-in rules for marketing to people who have shown interest. Every follow-up email has an unsubscribe link, and unsubscribing also stops the reminder texts about that booking.
  • Texts about homes, and alerts about new homes when they launch. Consent. You can withdraw it at any time.

Where we rely on legitimate interests, you can object. See section 9.

4. Emails and texts

Service emails about your viewings, offers, payments and tenancy, and legal notices, always come. We need them to run the service.

Follow-up emails, such as a nudge after a viewing or a reminder to finish a booking or your Passport, come unless you opt out. You can opt out:

  • when you sign up as a tenant, by ticking "Don't send me follow-up emails";
  • from the Unsubscribe link in any follow-up email; or
  • under Emails and texts on your profile.

In mail apps that support it, you can also unsubscribe in one click with the app's own unsubscribe button.

Texts. If we have your phone number, we may also text you viewing reminders, offer updates, and reminders to complete your part of an offer you have been named on. Texts about homes are off unless you turn them on under Emails and texts on your profile. If you started booking a viewing and did not finish, we may text you a reminder. To stop these, use the Unsubscribe link in the matching email, or email [PRIVACY CONTACT EMAIL].

Alerts about new homes are not live yet. When they are, you will only get them if you turn them on.

5. What we measure

When you click a link in one of our follow-up emails, it goes through our own address first (roguemove.co.uk/r/...). That tells us which email and which link you clicked. It then takes you straight on to the page.

When you are signed in, we record which listings you view, and which of our emails brought you there, if any.

We use this to see which emails and listings work and, later, to suggest homes.

We do not use tracking pixels or track when you open an email. We do not use advertising or analytics cookies, and we share none of this with advertisers.

Resend, our email provider, tells us whether each email was delivered, bounced or marked as spam. If an email bounces because the address does not work, we stop emailing that address. If you mark one of our emails as spam, we stop sending you follow-up emails.

6. Matching, AI and automated decisions

Suggesting homes. We do not suggest homes automatically yet. When we do, a suggestion will only ever be a suggestion. Matching will never decide who gets a home: the landlord decides. Nothing on Roguemove ranks tenants for landlords.

Affordability. When you make an offer, the landlord sees how your household's income compares with the rent, using the common guide of a yearly income of 30 times the monthly rent. This helps the landlord decide. It does not decide anything.

AI. We use Anthropic's Claude for four things. It drafts rent appraisals for landlords from the property details and photos they give us. It turns what you type into the “Describe your perfect place” box on the search page into search filters you can see and change, so that text is sent to Anthropic. We do not keep it, and the box only ever searches by the home, never by anything about you. When a landlord asks it to, it reads that listing's photos and the description they have written and suggests answers about the building, such as the outdoor space or when it was built, so those photos and that text are sent to Anthropic; the landlord confirms each suggestion and nothing is saved until they do. It also translates support chat messages between English and Traditional Chinese, so the text of each support chat message is sent to Anthropic. None of these uses decides anything about you.

To stop the search box and the listing suggestions being overused, we count how often each is used each day, by account or, for the search box when you are not signed in, by a scrambled form of your IP address. The count is kept only in our server's memory and starts again each day.

One step that happens automatically. When a landlord accepts your offer, you have a deadline to pay the holding deposit. If it is not paid by then, the reservation lapses: the offer is declined, the home is available again, and both you and the landlord are told. A person, not the system, decides whether to accept another offer.

If you think a lapse was wrong, email [PRIVACY CONTACT EMAIL]. A person will review it, and you can give your side and challenge the outcome.

7. Who we share it with

The landlord, and any letting agent acting for them, for a home you ask about, view, make an offer on or rent. For a build to rent home, that includes the building's leasing team.

Other people on your application. If you apply with sharers, each of you sees the others' names, occupations, employers and employment status.

Anyone looking at a listing. A listing shows the landlord's display name and photo, how many properties they have, and the year they joined Roguemove.

Service providers who process data for us:

  • Clerk, for signing in;
  • PlanetScale, our database, hosted in London;
  • Vercel, which hosts the site and stores files such as photos and documents;
  • Resend, which sends our emails and receives enquiry emails forwarded from property portals;
  • Twilio, which sends our texts;
  • Stripe, which takes payments;
  • Anthropic, for rent appraisals, search briefs, listing suggestions and support chat translation; and
  • our referencing partner, [REFERENCING PARTNER NAME]. We have not appointed one yet, so no referencing data is shared today.

Other services. We look up property postcodes with postcodes.io, and energy ratings on the government's EPC register. These lookups are about the property, not about you. The maps on our listings pages load from OpenStreetMap, so your browser sends OpenStreetMap your IP address.

Deposit schemes and authorities. The landlord gives your details to a deposit protection scheme (DPS, TDS or mydeposits) to protect your deposit. We share data with the Home Office, HM Treasury's Office of Financial Sanctions Implementation, the police, courts or other authorities where the law requires it.

Outside the UK. Some of these providers are based in the United States or may process data there. When your data leaves the UK, we rely on [INTERNATIONAL TRANSFER SAFEGUARD].

8. How long we keep it

These are the periods we work to. We do not yet delete data automatically when a period ends.

  • Right to Rent document copies: [TO CONFIRM: for the tenancy and 1 year after it ends].

We may keep something for longer if the law requires it, or if we need it for a legal claim.

9. Your rights

You have the right to:

  • see the personal data we hold about you;
  • have it corrected if it is wrong;
  • have it erased;
  • restrict how we use it;
  • object to how we use it. You have an absolute right to object to direct marketing, and if you do, we stop;
  • receive it in a format you can take elsewhere; and
  • withdraw your consent at any time, where we rely on consent.

Some rights have limits. For example, we cannot erase a record the law says we must keep, such as a Right to Rent or sanctions check.

To use any of these rights, email [PRIVACY CONTACT EMAIL]. We may ask you to confirm who you are. There is normally no fee. We reply within one month. If a request is complex, we may need up to two more months, and we will tell you why.

11. Cookies

We only use cookies we need to run the site:

  • Clerk's sign-in cookies, which keep you signed in;
  • rm_active_role, which remembers which part of the site you are using, such as tenant or landlord (kept for 30 days); and
  • rm_locale, which remembers your language (kept for a year).

On payment pages, Stripe sets its own cookies to help prevent fraud.

We also store two things in your browser: a note that you closed the prompt to install our app, and copies of pages you have opened, so the app can still show them when you are offline.

We do not use analytics or advertising cookies.

12. Changes

If we change this notice, we will update this page and the date at the top. If the change is significant, we will also tell account holders by email.
